Information industry estimates show that a typical worker will take 12 minutes to process a single document. Nine of these 12 minutes are spent searching for, retrieving and re-filing the document. Only three minutes are spent using the information.
In 1995, Coopers and Lybrand released a study that showed that the average office:
• Makes 19 copies of each document
• Spends $250 recreating each lost document
• Spends $20 on labor for filing each document
• Loses 1 out of 20 office documents
• Spends $120 searching for every misfiled document
• Spends $25,000 to fill a 4-drawer file cabinet and $2,000 annually to maintain it
The volume of paper documents that corporations must process has increased ten-fold in the last five years. This increase has driven handling costs higher, which, in turn, lower profit margins.
Take a close look at your operation and consider:
• How much time is lost searching for client files and/or client information?
• How many billable hours are lost due to not having the information easily available?
• How much money and time is lost copying, mailing and faxing documents?
• How much is spent on storage space?
• What would happen to your information in the event of a disaster?
• What is the cumulative impact of all of these on your profitability and quality of client service?
