Ig Siefert Using the Manual Index

Now with Laserfiche, he finds and prints from his desk.

Start to finish about 60 seconds

East Valley Water District is a Laserfiche user who recently needed to relocate their offices…quickly, very quickly.  The concrete floor had cracked and damp soil underneath became moldy.

They relocated into new offices about a 12 minute drive away.  Since all the business records were in Laserfiche, they moved with the district's servers.  The C, D, and E size drawings could not be relocated.

Every time the engineering department needed a drawing, someone had to make the trip to the old office, search the card index for the correct drawing, find the drawing, take it to the new office, make a copy and then return the original. The process was time consuming and quite expensive.

Bruce Adams proposed ECS Imaging to scan all the drawings, index them and add a text narrative supplied by the district.  Almost 4,000 drawings were scanned, indexed and added to a new volume on their existing system.

Once the system was put in place, any drawing or series of drawings could be located with a drawing number or by searching the text associated with the drawing.  Instead of hours, the Laserfiche system could find and print a drawing in less than a minute.

Ig Seifert, the supervisor for the engineering drawings, raves about the system.   “It has saved the district time and money.  Additionally, anyone in the Engineering Department can search for a drawing without having to find the original in our six storage cabinets.”

If you would like to know more about how this Laserfiche application works or if you would like a demonstration, please call Bruce Adams, ECS Imaging, (951) 788-8768 X106.

Workflow can dynamically create folders with the first character of a field so that if the company name is ECS Imaging, Inc., for example, the documents will be filed under E.

WORKFLOW 7 OFFERS ENHANCED CAPABILITIES FOR ROUTING, including the ability to route true copies of documents. This function could be used, for example, to send independent copies of a document to different users rather than sending a shortcut.

Use the OMR Plug-in with Quick fields to auto-populate template fields, name a document and create filing schemes.

WITH THE OMR (Optical Mark Recognition) PLUG-IN FOR LASERFICHE QUICK FIELDS, values significant to the checked box can be used to auto populate template fields, name the document, or create filing schemes.

For example, if you have a checkbox on your form that designates “Male” if checked or “Female” if unchecked, place an OMR process (let's call it Gender), in that checkbox.

You then set up two pattern matching processes, one called Male, the other Female.

Since Pattern Matching returns blank for a false match, the field will be filled with either MALE, or FEMALE. This can be extended with more pattern matching processes to handle more complex OMR cases.

A default naming convention for new documents created in Laserfiche can be enforced. For example, incoming invoices need to be named 001, 002 onwards instead of 1, 2…When using the Autoname functionality available in the Laserfiche Client, pre-pending multiple zeros to the value assigned to the Counter setting will include leading zeros when the Count token is used to name the document. When the Count token is replaced by a value, it will contain zeros for each unused digit. For example, specifying "0000" under Counter would produce the following results for Count: 0001, 0002, … 0009, 0010.

Having a desktop shortcut to the Web-based application is very useful. Making such a shortcut possible on every desktop for a large enduser base can be tedious and time consuming.

From an administration standpoint, deployment of shortcuts to Laserfiche Web-based applications can be assisted through the use of Windows Script Hosting. Shortcuts on end users' desktops can be easily and quickly created through the use of a vbs script. Here is an example script which can place a single shortcut to a designated URL on your desktop. Items in “[]” should contain your specific title or url; also, make sure to remove the “[]” from the script. Scripts can be written using any text editor and should be renamed with the extension .vbs. In addition, the most current version of Windows Script Hosting (WSH) should be installed; WSH is installed by default on Windows 2000/Me/XP/2003.

set WshShell = WScript.CreateObject("WScript.Shell")
strDesktop=wshShell.SpecialFolders("Desktop")
set UrlLink = WshShell.CreateShortcut(strDesktop & "\[Title of Your URL].url")
UrlLink.TargetPath = "[Your URL]"
UrlLink.Save
