We wish a Happy New Year to our fellow customers. We’re excited to introduce a new layout for our monthly newsletter. We hope this layout will serve as a better resource for your document imaging knowledge needs.

Claremont USD Student Services – “Adding a New Laserfiche System”

Claremont Unified School District had three goals in mind when they contracted with ECS Imaging in 2006. First, they needed a cohesive system that could incorporate their brittle, disintegrating microfilm records dating from the 1940s through the 1990s. Second, they needed to incorporate boxes of transcripts and immunization records dating from 1990 through 2005. Student Services also needed a system for scanning current transcripts from 2005 and on. Their goals were to archive in a timely manner, have easy retrieval access, and scan records quickly.

 

Claremont USD chose ECS Imaging and the Laserfiche System because they would be provided with a strong support system that has easy accessible and responsive capabilities, easy initial start-up, and a secure database. ECS converted 77 rolls of Microfilm and scanned 40,000 paper documents into their system for them. They are pleased with the system and look forward to a long working relationship with ECS Imaging, Inc.

Laserfiche® Records Management Edition™

Laserfiche® Records Management Edition™ enables records managers to apply secure, consistent retention and disposition schedules to a unified repository of physical and digital records. It secures your records and quickly screens them for disposition eligibility based on a variety of criteria, while still providing all of the functionality of a standard Laserfiche server.

 

RME security is as rigorous as today’s regulations are strict. RME protects records integrity and monitors access and transferal history. RME provides additional enforcement for Laserfiche security, including enforcements based on records retention. Records are kept secure based on where they are in their life cycles. Comprehensive Audit Trail™ monitors your records and enables your organization to demonstrate compliance with information access and corporate governance regulations at every step of a record’s cycle.

 

If you already have a Laserfiche server and would like to add records management capability to your installation, you have two choices: the Records Management Edition and the Records Management Module™. RME is a full Laserfiche solution, including a full Laserfiche server and Advanced Audit Trail, and is DoD 5015.2-certified. The Records Management Module is an add-on to an existing Laserfiche server. It provides all of the same records management utility as RME, but does not include the server and Audit Trail. The Records Management Module is ideal for companies and organizations that need records management capability, but do not have to comply with DoD 5015.2 regulations.

 

Upgrading to records management doesn’t require training on a complicated new platform. RME integrates seamlessly into your Laserfiche solution with hardly any changes to the intuitive interface. Everyday users can continue with their routines and tasks with no disruption. The result? RME offers advanced-level records management while supporting widespread use and retaining all the benefits of Laserfiche.

 

User Conference speaker Michael Wells, System Administrator for Chesterfield County, VA, says: “We had a smooth transition to records management with RME—only the records managers knew there had been a change. And RME is flexible enough to adjust to changing compliance demands.”

 

Using Import Agent to automatically merge documents

When you use Import Agent to import a document that has the same name as an existing document in the same folder, you can choose how Import Agent will handle the conflict. By default, Import Agent will create it as a new document with "(2)" on the end of the name. However, in some cases you might want to merge the documents instead.

For instance, you might have a loan application package called "John Doe “Loan Application" in your folder. When you receive supplemental information for that application, you would not want the additional pages to be created as a new document; instead, you would want them to be added to the application packet.

To do this, open the relevant Import Agent profile. Select the Document Handling tab. Under Image and text files, select Change the existing document by and then select Appending the pages to add the new pages to the end, or Prepending the pages to add the new pages to the beginning. You can also choose Replace all pages. This last option is useful if you want to completely replace all the pages but keep the same document metadata.


 

Customizing the folder browser

You can customize many of the display options for the folder browser from the Browser Options menu.  To open the Browser Options dialog, open the Tools menu and select Options, then click the Browser icon in the Options menu. You can also open the Browser Options menu by right-clicking the column header bar in the Folder Browser.

 



Column Display

You can configure the default columns that are displayed in the folder browser for folders and documents.  This enables you to display some or all of the template field values as well as more general information.  If you would like to add all fields for a particular template, you can do so by double-clicking the template's name.  The same for all folders if you want a consistent column display, or Remembered for each folder if you want to customize column display for each folder.
 
Document icons

The Laserfiche document icon's color depends on the features of the document itself.  This setting enables you to determine whether you want all of the documents from the same volume to have the same color, or all of the documents with the same template to have the same color.  The Use document icons for electronic documents check box controls the icon display for electronic documents.  By default, electronic documents are displayed using the icon associated with their native file format (Microsoft Word documents display the Word icon, and so on.) If you select the 'Use document icons' option, however, electronic documents will be displayed with Laserfiche document icons.
 
Options

The Display latest version only option enables you to specify that only the most recent version of a document be visible. Checking the Save pane layout box configures the Laserfiche Client to remember whether the Folder Browser or Search panes were open when the Client was last closed, and to open the Client to that pane.  If the box is cleared, the Client opens to the folder browser.
 
Font

The Laserfiche Client uses the same font for the folder browser display as the default Windows Explorer font.  By selecting 'Use custom font,' you can customize the font display to choose the text font, size and style you prefer.  Click Change to specify the text font, size and style.

 

Scan into Laserfiche with a wide format scanner

Laserfiche has the ability to store large images, such as e-sized drawings and blueprints, scanned with a large-format scanner. These documents will retain their original dimensions and will not be segmented.



Once large-format documents are scanned into Laserfiche, there are tools for working with it. When viewing the document, you can quickly zoom into a specific part of the page by holding down Ctrl and scrolling the mouse wheel. If you have a capable printer or plotter, you can print a large-format document from Laserfiche at its original size and scale. On a smaller printer, you can choose to shrink the entire image or print only a portion of the image (screenshot below). To see the entire image, choose Scale to fit for the Image size. This option will maintain the original aspect ratio so that the document will not be distorted. If maintaining scale is important, choose the Print Type of Zoomed in area of image and Actual size for the Image size. Laserfiche will use the DPI information stored in the image and from your printer to reproduce the zoomed area at the correct scale.
