From the Thursday night welcome reception to Sunday’s one-on-one meetings with Laserfiche executive staff, VARs were able to network with each other and Laserfiche staff in a relaxed and casual environment.

Getting Ready for Version 8

At ECS we want the experience of the migration to version 8 to be painless for our customers. Upon notifying your Account Rep that you are interested in upgrading to version 8 ECS will provide a thorough analysis of the existing system to ensure the migration can be completed and with little surprises. A tech team will be assigned to your account for the pre-migration process and to review a checklist of items with your IT staff. Some of the items include:

 

·         Identifying hardware and application minimum requirements

·         Identifying read only volumes in Laserfiche

·         Obtaining a copy of just the database to run through the migration at our offices beforehand

·         Consulting on template fields with the new abilities in 8

 

Our intent of this pre-migration process is to provide a complete and successful migration from the beginning. Here are a few of the hardware and application recommendations:

Workstations

Windows XP SP2 or later

2 GB RAM or more on scan stations

1 GB RAM or more for other stations

SQL

SQL 2005

Server OS

Windows Server 2003 (Service Pack 1) or Windows Server 2008

Customize Columns in WebLink 7.0.5

As an administrator, you can create a better WebLink experience for you and your users by limiting the amount of configuration needed on the user’s part. Specifically, you can customize your WebLink installation to display specific columns by default, to save users from having to add each column themselves, and you can prevent users from modifying the default columns you have configured.

For example, you might want to add the “Date Created” column so users can see when a document was created. Or you might want to add a field as a column, such as adding the “Author” field to display the author next to each entry. Currently, by default, the only column displayed is “Name.” Follow the steps below to add the “Date Created” and “Author” columns (or you can substitute other column names in this example) and prevent users from changing this configuration.

Note: The following instructions use Microsoft Visual Studio 2008. If using a different programming environment, these steps may vary.

Note: Make a copy of the Web Files folder just in case you need to revert to it.

(a)       To add “Date Created” and “Author” as default columns

1.      Browse to C:\Program Files\Laserfiche\WebLink 7\Web Files and open WebLink7.vbproj.

2.      From the Solution Explorer, expand the WebLink7 project, right-click on Login.aspx, and select View Code.

3.      Scroll down to the bottom of the file.

4.      Under Insert code to set the default columns below, add the following code

conn.AddDefaultColumn(Column_Type.COLUMN_TYPE_EVENTDATE)

conn.AddDefaultColumn(”Author”)

5.      Save the Login.aspx page.

(b)       To prevent column modification by removing the Browse and Search Options

1.      Navigate to C:\Program Files\Laserfiche\WebLink 7\Web Files and open WebLink7.vbproj.

2.      From the Solution Explorer, expand the WebLink7 project, right-click on MyWebLink.aspx and select View Code.

3.      Scroll down to line 80 of the file.

4.      Comment out lines 80-84 by adding an apostrophe (’) at the beginning of each line.

5.      Save the MyWebLink.aspx page.

6.      In the menu, select Build, then Rebuild WebLink7.

7.      Users will now see the Name, Date, and Author columns when opening WebLink. The Search and Browse options will be hidden from users preventing them from changing the default columns.

Sending Recurring E-mails using Workflow 8

After routing an entry to a user or group, Workflow 8 can notify the trustee that a document was routed to their working folder. If the user/group does not take the appropriate action on the entry (e.g., approve/deny or process the entry) within a specified amount of time, the workflow can send a series of reminder e-mails based on a recurring e-mail schedule that observes weekends and holidays.

For example, it is Joan’s job to process sales orders. A workflow is configured to perform the following actions:

  • Route orders to Joan’s working folder.
  • Send Joan an initial notification e-mail informing her she has a new order to process.
  • Wait three days and then send a series of reminder e-mails once every 48 hours until Joan processes the order. The recurring e-mail schedule will not take into account weekends or standard United States holidays.

Creating the Workflow

Follow these steps to create a workflow that performs the actions described in the example above.

  1. In the Workflow Designer, add a Route Entry to Folder, Route Entry to Group, or Route Entry to User activity to your workflow.
  2. Configure the activity to route to a specific user, group, or folder.
  3. In the E-mail tab, create a new e-mail.
  4. Select Create an e-mail recurrence schedule.
  5. Next to Initial wait, specify how long the activity should wait before sending the first e-mail.
  6. Next to Wait time, specify how long the activity should wait between e-mails before sending another.
  7. Next to Count, specify the total number of e-mails that should be sent.
  8. Select Exclude weekends and holidays if the activity should not take into account non-workdays when determining when to send the next e-mail. You can define what days are considered weekends and holidays in the Workflow 8 Administration Console.
  9. In the Wait Conditions tab, add a wait condition. This is required for the e-mail recurrence schedule to work.

Defining Weekends and Holidays

Follow these steps to specify which days are considered weekends and holidays.

  1. In the Workflow 8 Administration Console, connect to and select a Workflow Server.
  2. Expand the Holidays node.
  3. Select the Weekend Days node.
  4. By default, Saturday and Sunday are recognized as weekends. To modify this setting, right-click the Weekend Days node and select Edit Weekend Days.
  5. Select the Official Days node.
  6. Workflow 8 includes the following holidays: Easter, Chinese New Year, Memorial Day, Christmas Day, Labor Day, Thanksgiving Day, New Year’s Day, and Independence Day. By default, these holidays will not be observed. To observe a specific holiday, right-click it, select Properties, and select Observed.
  • Note: You can also modify a holiday by right-clicking it and selecting Properties.
  1. To add a new holiday, right-click the Official Days node and select New Holiday.

Searching For a Value in Any Field or Template

 Fields in Laserfiche allow you to store a wide variety of information, and to categorize it in many different ways. You can create fields to store names and addresses, numerical codes, phone numbers, dates and times, and so on; you can also create templates to organize those fields and to categorize your documents. However, when retrieving that information, it may be difficult to remember which field or template you stored a piece of information in. Was the invoice code in the “Code Number” field, or the “Invoice” field? Is the document you want a “Purchase Order,” or an Invoice?

In Laserfiche 8, when you can’t remember these details, you can bypass them entirely. You can use an advanced search to locate all documents with a particular string in a field – regardless of what template has been applied to them, and regardless of what field the string is in. You can also narrow down the search by either field or template.

For example, say a user wants to locate a document with the purchase order number “35401.” She isn’t sure whether the purchase order number was in the “Code” field or the “Order” field, but she knows that the template was “Purchase Order.” She could use the following syntax to find the number “35401″ anywhere in the “Purchase Order” template, regardless of the specific field.

{[Purchase Order]:[]=”35401″}

This would return documents with the value “35401″ anywhere in the “Purchase Order” template, but would not return documents in other templates, even if they contained the value “35401.” This is useful for narrowing down the possibilities – even if this number is also present in a document in “Invoices,” the user knows she isn’t looking for an invoice, and so won’t need to sift through irrelevant details.

Or perhaps the user knows that the order number was in the “Code” field, but isn’t sure whether the document she wants is an invoice or a purchase order or some other type entirely. In that case, she would use the following syntax.

{[]:[Code]=”35401″}

This would return all documents with a “Code” field which had a value of “35401,” regardless of template, but wouldn’t return other fields even if they contained “35401.” This is useful when you know that you may have the same value in other contexts in other documents, but you also know that you don’t need to look at them.

Finally, if the user has no idea which template or field she needs, but she does know the value, she can search for any document with any field containing “35401,” regardless of template. She would use the following syntax:

{[]:[]=”35401″}

This would return documents with the value “35401″ in any field, as a part of any template. While this might return a large number of documents, depending on how often that value is used, it can help you ensure that you find the correct document even if you can’t remember where the value was stored.

Note that, the more general your search, the longer it will take, and the more results it is likely to return. If you do know the field or template that the document is in, it’s a good idea to specify those in the search. However, these search types allow you to quickly locate all documents on a particular topic or related to a particular customer, order or date, regardless of the context. They are therefore very powerful and flexible searches.
