New products available to enhance your Laserfiche Solution

 

The Laserfiche Toolkit and Precompiled Toolkit Applications

The Laserfiche Toolkit allows you to extend the functionality of Laserfiche to meet your organizations needs. The Toolkit is a collection of commands and documentation that allow you to create integrated document management solutions. It provides the necessary tools to integrate Laserfiche with third-party applications, customize system functionality and automate Laserfiche related tasks. If you own the toolkit you can do these or you can have ECS provide these sample applications for you.

 

Some sample applications available from ECS are:

 

  1. Generating an Audit Report for a Specific Document from the Laserfiche Client    Audit Trail Special this month…

Have you ever wished you could look at the Audit information for a document from the Laserfiche Client? This application allows you to select a document in Laserfiche and click a button on the Laserfiche Toolbar to display audit information related to it. This application does require Audit Trail and provides similar functionality to Audit Trail Reporting. It is just convenient to be able to quickly pull up a brief report for a specific document.

 

  1. Automatically OCRing documents on a nightly basis

As we all know OCRing documents can take a while, especially when you are scanning many pages. Given the circumstances you may want to OCR the documents later on so you can focus on documents placement and indexing in the repository. This application will automatically make sure all documents in the repository, or in a specific folder, are OCRd. This application can also be helpful if users frequently forget enable OCR when scanning.

 

  1. Using Google to Map Locations in Address Fields

This program allows you to retrieve an address from a field and use it in a third-party mapping application. As an example, this program will use the information in an address field to map a location in Google Maps. This program is most effective when added as a button in the toolbar. A user can then select a document and click the toolbar button to map the location.

Getting Ready for Version 8

At ECS we want the experience of the migration to version 8 to be painless to our customers. Upon notifying your Account Rep that you are interested in upgrading to version 8 ECS will provide a thorough analysis of the existing system to ensure the migration can be completed and with little surprises. A tech team will be assigned to your account for the pre-migration process and to review a checklist of items with your IT staff. Some of the items include:

 

·         Identifying hardware and application minimum requirements

·         Identifying read only volumes in Laserfiche

·         Obtaining a copy of just the database to run through the migration at our offices beforehand

·         Consulting on template fields with the new abilities in 8

 

Our intent of this pre-migration process is to provide a complete and successful migration from the beginning. Here are a few of the hardware and application recommendations:

Workstations

Windows XP SP2 or later

2 GB RAM or more on scan stations

1 GB RAM or more for other stations

SQL

SQL 2005

Server OS

Windows Server 2003 (Service Pack 1) or Windows Server 2008

 

Routing Decision vs. Conditional Parallel

The Routing Decision activity specifies two or more possible routes for a document. When a workflow is performed, the activity decides which route is the most appropriate for the entry in question. This decision is made based on conditions you define.

For example, a workflow routes a document to Tim for approval. After he reviews it, Tim tags the document Approved or Denied. A Routing Decision activity uses this metadata to determine what should happen to the document. If the document was approved, the workflow sends an e-mail to another employee; if it was denied, the workflow archives the document.

Though a Routing Decision activity contains multiple branches, only one will become active each time the activity is performed. Branches are evaluated from left to right and the first branch whose condition is satisfied will become active. If no branch conditions can be satisfied, the workflow will skip the Routing Decision activity and proceed to the next step in the workflow.

Conditional Parallel

At first glance, the Conditional Parallel activity looks very similar to the Routing Decision activity: both contain branches that you assign conditions to and both activities’ branches represent different potential routes for a document.

For example, a workflow uses a Conditional Parallel activity to route a document to one, two, or three different users, depending on metadata assigned to the document.

In this scenario, one, two, or three branches may become active each time the workflow is performed.

The Difference – When to Use Each Activity

The difference between the two has to do with the number of branches that can become active each time a workflow is performed.

  • The Routing Decision activity attempts to select a single branch to be executed. Once it finds a branch whose condition it can satisfy, it ignores all other branches.
  • The Conditional Parallel activity attempts to satisfy as many branches as possible. Once it finds a branch it can satisfy, it executes that branch but does not forget about the additional branches. Each additional branch will also be evaluated and, if its condition can be satisfied, executed.

It is important to understand the fundamental difference between these activities in order for your workflows to function properly.

Web Access Light

Building on the capabilities of Web Access 7 and incorporating the new additions to the full Laserfiche 8 Client, the new Web Access 8 also adds a mobile version of Web Access called Web Access Light. This is a simplified version of Web Access enabling you to access your repository via a mobile device that has Internet capability. You can view documents, export files, rename files, move/copy files, create bookmarks, view metadata and entry properties, send e-mail, search, and much more. Web Access Light has been optimized for Blackberry, Opera, and Safari. However, it may be functional on other mobile browsers as well. For more information, see the Web Access Light help files.

Customizing Templates and Fields in Quick Fields 8

In Quick Fields 8, templates and fields can be customized for each Document Class in Quick Fields without changing the settings in the Laserfiche repository. For example, you can hide fields that don’t need to be addressed, or add special fields pertaining to the documents you are working with. The ability to configure the exact fields you need in the desired format can help optimize processing and data entry speed.

You can choose from any template and any fields available to you in the Laserfiche repository associated with that Document Class.

Fields can be reviewed, rearranged, and modified in various ways, including:

  • Added independently to the templates, as in Laserfiche 8.
  • Hidden from scanner operators.
  • Made required.
  • Moved up or down in the template.
  • Connected to zoom fields on the associated image to ease review and editing.
  • Constrained to a particular format (e.g., social security number to format xxx-xx-xxxx).

When documents are processed in that Document Class, they will all be assigned the customized template with the appropriate data for each document, but your settings in Laserfiche will remain unaffected.
