ECS Imaging Named Laserfiche July VAR of the Month ECS Imaging worked with several other document management applications before becoming a Laserfiche VAR in 1995. Making the switch was definitely an easy decision. “Laserfiche stood out as an easy-to-use solution you could administer without being a programmer, which was a major user advantage. It’s pretty amazing that Laserfiche has retained that ease of use as it has become more sophisticated. In fact, those fundamentals have become even more important as the solutions have become more complex” says founder Jim Pappas. ECS first qualified for the Laserfiche Winners Circle in 1999 and has been a fixture in the front ranks of leading VARs ever since. The firm was selected as the VAR of the Year in 2002, last year, was one of the top five VARs and currently is ranked first worldwide providing Laserfiche products and services. ECS is well on its way to another outstanding performance this year. Though they have installations in a number of industries, they are best known for their many Laserfiche implementations for local governments in California. Their recent selection for an extensive solution for the City of Westminster, CA, is a good example of the reasons for their continuing success. “We were able to give them everything they wanted, including a seamless integration with Microsoft SharePoint, a clear conversion path from their previous document management application, integrations and expert scanning services,” says Pappas. “They also liked the fact that we’re affiliated with Laserfiche, a company that has been around for a long time and is known for strong product development and customer support.” He also commends Barry Weinstein, ECS’s lead account manager for Southern California, for his role in the successful effort. “His focus on presenting the Laserfiche case clearly and accurately enabled us to stand out as the superior solution,” Pappas says. Westminster will now become part of ECS’s large and close knit community of Laserfiche users. Spearheaded by Vice President Debbi Richards, ECS’s customer relations program is one of the largest in the Laserfiche VAR spectrum. It starts with their newsletter, which they’ve been producing each month since 1999, and includes a full schedule of regional user training meetings in California and Nevada, as well as an annual conference. (This year’s conference will take place September 10-12 in Lake Tahoe, NV.) “Our number one goal with these initiatives is to give extra value to our customers,” says Pappas. “The reward for us has been strong customer loyalty.” Pappas sees a very bright future for ECS and Laserfiche, highlighted by growing interest in the enhanced enterprise-wide capabilities of Laserfiche 8 and Workflow 8. “We have a great team in place in sales and support, and we look forward to enabling our customers to run smarter and smarter for many years,” he says. ECS Imaging is based in Riverside, CA. In addition to Pappas, Richards and Weinstein, the firm’s management team includes Pete Hershelman, sales manager for Northern California, and Rod Simon, the lead Northern California account manager. |

Enhancements to E-Mail Export
Folder Tunneling In some cases, you might want to grant users or groups access to folders that are ‘buried’ beneath folders to which they don’t have access. For example, you might want users to be able to access their own personal folder, but not the rest of the department folder in which it resides. You can do this by creating a shortcut to that folder. You will need to place the shortcut in a folder to which the user has sufficient rights, so they can navigate to it. They will also need to have the rights to access the folder to which the shortcut points, but they don’t need rights to the folders in between. For example, you might want to create a folder for Jane Smith’s retirement fund information within the Human Resources folder, but only grant Jane Smith the ability to see her own folder, not the Human Resources folder itself. You could restrict Jane Smith from the Human Resources folder but grant her rights to the Jane Smith folder. You could then create a shortcut in another folder to which Jane Smith has access. Even though she couldn’t browse to her folder within the Human Resources folder, she could both search for it and access it by clicking the shortcut within the folder she can see. This configuration is useful because it doesn’t necessitate explicitly denying her access to all the other folders within the Human Resources folder, which in turn simplifies the security policy. This adds great flexibility in setting up repositories. Potentially complicated and time-consuming modifications to the overall security setup of the repository can be avoided in cases where certain users should be granted access to specific pieces of information in an otherwise confidential parent folder. Selecting Activities in Workflow 8 In Workflow 8™, you can perform a variety of activities on an entry, from routing it to a particular folder to assigning a security tag to adding a sticky note. Show Me an Example
Deadlines in Workflow 8 Workflow 8’s Deadline activity enables you to define and enforce an organizational deadline. You can define one route for an entry before a timeout period is met and additional routes for after. Show Me an Example A workflow routes a document to Bob. Bob has two weeks to process the document. If he fails to meet this deadline, the workflow re-routes it to Harry.
Defining Deadlines You can define deadlines using a combination of days, hours, and minutes.
Multiple Deadlines By adding additional branches, your workflow can have multiple deadlines. For example:
Trustee Attributes in Laserfiche 8 Trustee attributes are the settings specific to particular users that influence the way they use the Laserfiche Client. Trustee attributes include information such as which columns will be displayed in the Client and how they will be sorted, which Quick Search settings will be used by default, how the toolbar should be displayed, which import options should be used, how the document viewer should be displayed, and which scanning options should be used by default. Trustee attributes are specific to a particular user; if one user customizes the column display for the Client, he will thereafter see this column display, but won’t affect other users. In Laserfiche 7, trustee attributes were stored in the registry. This allowed them to be specific to particular users, but also made them computer-specific. In Laserfiche 8, trustee attributes are still user-specific, but are stored on the Server. This means that users logging in on several different workstations will still always see the Client using their own settings. Laserfiche 8 also introduces an interface that allows you to view and modify trustee attributes directly from the Laserfiche Administration Console, without needing to open or modify the registry. A user with the Manage Trustees privilege can log in to the Administration Console, open Properties for any Laserfiche or Windows Account user, and then select the Attributes tab. This tab lists all currently-set properties and their values. (If no property is set for an option, the user will use the default setting.)
You can also use this interface to copy attributes from one user to another. Simply select the property or properties you would like to copy, right-click, and select Copy. Then open the user you would like to apply this property to, right-click in the attributes list, and select Paste. For instance, you could use this process to copy a column display setting from one user and paste it into several other users to give them the same column display. If you would like to change the default attribute for all users in the repository, you can do so by setting the attributes for the Everyone group. Modifying the Everyone group is the same as modifying a user: open the Everyone group properties and select the Attributes tab. You can then modify properties as you would with a user. For example, to set a starting column display for all users, you could log in to the Client using your own account and customize the column display in the way that you wish. You could then log in to the Administration Console, copy the Column Display attribute from your trustee attributes and paste it into the Everyone group. This column display setting will function as a new default, and will affect all users who do not have a customized column display setting of their own. However, users who have customized their column display will not be affected by this new default. |
