“Brown Metals Company moved away from a manual business process and into the technology era in 1995. As we've developed our internal systems over the past decade, we've found several areas where technology could be applied to increase efficiency. Recently, the need for fast document retrieval has been our main priority. The LaserFiche product has allowed us to scan in our documents using a unique barcode identifier, and use a real-time database query based on the barcode to populate all the fields for that document. This imaging technique maximizes search capability while minimizing data input errors. Now, our users can lookup documents in several ways including by Customer Name, Purchase Order Number, or Date Shipped.

 

In addition, Laserfiche has allowed us to distribute documents to our customers electronically in the popular PDF format. During the past 6 months we've been using Laserfiche, we've been able to improve our internal document handling process as well as increase our level of customer service. Laserfiche 7.1 Lets Users with the proper authorization copy and paste administrative objects such as users, groups and templates from one repository to another.  When pasted into a different repository, a user or group retains the same set of privileges, facilitating the creation of new repositories with the same or some of the same users and templates as another repository.

 

This functionality also applies to public stamps, tags, relationships, audit reports, and records management objects.

 

Laserfiche Import Agent 7.0 adds more flexibility and document capture capabilities to a Laserfiche document management system.  Key new functionalities include:

 

OCR and index upon import – Import Agent can bring documents into the system fully OCRed and indexed, ready for full-text search and retrieval. The OCR can be configured, in different languages, to undo columns and autorotate.

The ability to import into existing documents – Users can append to existing documents and are given the option to keep the existing document's metadata, replace it with metadata specified in the profile or merge the two.

 

Support for different import schedules for each monitored directory – Users can configure Import Agent to monitor different folders on different schedules with the option to store successfully imported files in a designated folder.  Import Agent 7 allows imports from sub-directories of monitored folders and will ignore hidden files.

The ability to connect to multiple servers.

Delayed import after file modification – Users can specify the period of time to elapse after a file has been modified before it is imported, allowing additional changes to be made prior to import if necessary.

Improved error reporting – Users can choose the level of error reporting needed:  Low, Medium, or High.

Full support for Laserfiche 7.x – Import Agent fully supports Version 7 features, including template features, tags and security. 

 

Tokens can be the default value for a template field in Laserfiche 7.1

tokens can be used as a default value for a template field.  This can be configured from the Properties dialog of a template in the Laserfiche Administration Console. There are tokens available for User, Date, Time, ID (document ID), and Count. For the default value of a template field, use the name of the token enclosed with “$”s. The values of the User and ID tokens are not filled in until the document is created, so they will still appear as “$user$” and “$id$” in the filing dialog or scanning window.

 

Users can scan the same document with more information filled out and have Quick Fields somehow find the first document and replace it with the updated version…wow 
There are several options available, including replacing the previously scanned image.  From the Administrator view, there should be a task pane on the left side, showing all of the available document processing options.  One is for the Document Class, which is Document Class 1 by default.  If you click on this icon, the options pane on the right side will show the various options that can be set.  One of these will be “Sending Documents.”  

Selecting this will drop down a menu, with the various options available for the case of sending a document with the same name as an existing document (such as if Zone OCR is used in naming).  Selecting “Replace images in the existing document” will overwrite the previously scanned images, while the Append or Prepend options will add the new images to the already existing document.

 

There is a way to search for strings in any template field.

In other words I need to find "Ann Smith" -whether he is in the author field, contact, full name, supervisor, account manager, attorney assigned, or scan technician field.  If he has anything to do with a document I need to have it show up in the hit list.

A: The advanced search syntax allows the searching of multiple templates and field values.  This would allow searching in multiple fields of one or several templates.  In order to do the broad search desired, a large Boolean statement is necessary.  Each statement should look like: {[TemplateName]:[Field]="Value"} where brackets and quotation marks are included. 

 

A pipe character "|" between each term will indicate an "Or" search.  The full-search syntax for the template Legal, looking in each possible field would look like this: 

{[Legal]:[Author]="Ann Smith"}|{[Legal]:[Contact]="Ann Smith"}|{[Legal]:[Full Name]="Ann Smith"}|{[Legal]:[Supervisor]="Ann Smith"}|{[Legal]:[Account Manager]="Ann Smith"}|{[Legal]:[Attorney Assigned]="Ann Smith"}|{[Legal]:[Scan Technician]="Ann Smith"}

 

Using copy and paste will make setting up these types of searches quicker, and the ability to save searches means it only needs to be set up once and then can be reused indefinitely. 

 

The Integrator's Toolkit offers other options if these types of searches need to be performed regularly.  The Toolkit can be used to create additional search options, and a number of VARs have done this before.

 

Using Windows Authentication with Web Access

Laserfiche Web Access can take advantage of the Windows Authentication feature of Laserfiche. Using it means thin client users do not need to remember another password while Laserfiche administrators retain fine-grained control over the rights of each domain user in Laserfiche. When browsing to the repository, the Web browser will pass domain\username information on to the Web server in order to be authenticated.
 
In order to accomplish this setup in Laserfiche Web Access, there are two steps required.  The first requirement is that Web Access must be installed on the same machine as that of the Laserfiche Server.  The second step is done through Internet Information Services where the Web server is configured to request for Windows Authentication information that will be used to authenticate to Laserfiche.  Right click and select properties under the appropriate virtual directory.

 

Monitor User Licenses with Performance Logs

Laserfiche 7.1 allows the ability to monitor a number of server- and repository-specific activities, including license usage.  Statistics on full and retrieval license usage can aid in determining future licensing needs. If you would like the instructions on how to set this up please send request to support@ecsimaging.com.
