Routing entries to folders in Workflow 8™ For the next several weeks, we’ll be previewing new features in the Laserfiche 8 suite, many of which you can see hands-on in the beta. Because this is a preview, note that the details and appearance of certain elements may change between now and the final release. Workflow 8™ vastly expands both the types of activities that Workflow can perform and the options available in those activities. To demonstrate this point, we’ll go through the options for just one of those activities: Route Entry to Folder. When a document triggers a Route Entry to Folder activity, Workflow 8 will move that document into the specified folder. The first set of options you can choose when setting up this activity is the folder destination for that document. You can browse to an existing folder or specify a new folder name; in the latter case, Workflow will create the folder for you. You can also use tokens to dynamically determine a folder location. For example, you could send the document to a particular folder with the same name as a value in a document's field.
You can specify whether the process should move the document to the destination folder, create a copy of the document in the destination folder, or create a shortcut to the document in the destination folder. You can also specify whether the process should move or copy the entry itself, its parent folder or a folder further up. For instance, you might use the workflow to process documents pertaining to specific clients. If a particular client's application is approved, you might want to move the entire client folder—including all supporting documents—from a pending folder to a confirmed folder. However, Workflow enables you to do more than simply move the document. You can also configure the routing activity to assign templates and field values, set tags, send e-mail notifications and configure wait conditions. You can have Workflow 8 set a template and set field values at the same time the document is routed. For instance, if you want to indicate that a document stored in the folder has a high priority, you could set the Priority field to "High." If you route a document into an “Invoices” folder, you could set its template to "Invoices." You can also set tags on a document when it is routed.
Recall that you can configure an e-mail notification that will be sent when this activity is triggered. For more information, see the Tech Tip in the July 30 issue of the VARNews. You can also configure a wait condition that will delay the activity until an additional condition or set of conditions is met. We’ll In addition to routing documents based on template field changes, are there other ways to initiate a Workflow route in Workflow 8? In Workflow 8, you’ll be able to route documents based on virtually any action that can take place in a Laserfiche Repository. For example, a document can be routed once it is given a tag or once it reaches a certain number of pages. You can also route documents based on their name, location or extension. Workflow 8 Administration Console Workflow 8 features a new Workflow Administration Console that enables administrators to monitor and configure their Workflow Server. The Workflow Administration Console has the following features: Workflow Statistics. The Workflow Statistics node reports the number of individual workflows that are currently running. For instance, if you’ve created an Approval Route workflow, and if six documents are currently being routed by the Approval Route workflow, that will count as six workflows. Workflows. The Workflows node reports the number of workflows that exist on the server, and the version number for each one. Each time the workflow is modified and re-published, its version number will increase. Workflow Types. The Workflow Types node lists the workflow types. A workflow type is a template for future workflows. You can't set up rules for them directly, but you can use them as a basis for creating new workflows. Rules. The Rules node lists the rules currently configured on the Workflow Server, the workflow each one is applied to, and their status. Security. The Security node enables you to configure which Windows® domain account users can perform which tasks in Workflow 8. For instance, you could allow certain users to create and delete workflows, other users to modify them but not create or delete them, and still other users to only view workflows but not make any changes to them. Workflow Publication History. The Workflow Publication History node enables you to run searches to see when workflows and workflow types have been published, updated, or deleted, and by whom. Rule Publication History. The Rule Publication History node enables you to run searches to see when rules have been created, updated or deleted, and by whom. Laserfiche 8 will provide a way for them to record while redacting certain areas of a document. Many government agencies are subject to Freedom of Information laws and must provide justification for each redaction of information on a document. Laserfiche 8 will include expanded functionality with regard to annotations, including the ability to associate comments with each one. To add a comment, users simply right-click the annotation and select the Properties option. When the Properties window opens, they can enter their comment in the Comments field. |
