Version 8 Success Story

 

The City of Placentia has been an ECS Imaging, Inc. customer since 1998 originally starting on version 5 of Laserfiche.  For the City of about 50,000 residents with the assistance of Eddie De La Torre, Management Analyst and Angela Robles, Chief Deputy City Clerk, ECS recently completed the migration to Laserfiche version 8 for them.  The City took the opportunity to procure a new server with greater capacity, processor speed and fault tolerance in order to accommodate the increased number of users planned for the system and the added functionality of the new software.

 

At the version 8 training sessions, users were especially enthusiastic about the new functionality of Laserfiche version 8.  Key features included the new quick search capability, the flexibility of the metadata fields and simply revisiting all the flexible and easy to use features they hadn’t used recently.

 

 

The Administrative Services, Building Department, Clerk’s Office, IT and Police all use the system.  The public has access to public documents using Laserfiche WebLink.  The City would like to have ECS Imaging, Inc. assist them with modifications to their WebLink interface as well in order to personalize the user experience with their City logo and colors.

 

In additional to expanding the system to more users within the City, we are discussing scanning older microfilm records into Laserfiche.  As older records deteriorate and become more difficult to access, it really helps to have them available within Laserfiche for easy and fast retrieval.

Multi-Value Barcode Tokens in Quick Fields 8

Quick Fields 8, a single barcode process can read all the barcodes on the page and save all their values in a token you can use to fill out a multi-value field or multiple single-value fields. Data encoded in barcodes can be read quickly and accurately. This feature lets you take even better advantage of these aspects of barcodes to capture multiple items of data through simple, non-repetitive configuration steps and without the need to create precise zones on the images.

Example 1: Using a Multi-Value Barcode Token in a Multi-Value Field

The Drury Lane Bakery is configuring a Quick Fields session to process order records. For each order, they create a sheet of barcodes containing the product codes for the items ordered. In Quick Fields 8, by default, the barcode process reads all the barcodes on a page (the option to create regions is also still available). When they create a single barcode process, they place the token from that process in a multi-value field, and the values from each barcode will automatically be read and inserted into distinct values within the field.

Example 2: Extracting a Single Value from a Multi-Value Barcode Token

They can also extract a single barcode value from a token that contains the values of all the barcodes on the page. To do this, they specify the vertical location of the barcode among all those on the page.
To use a single value from a multi-value barcode token:

  1. Add the barcode token to the field.
  2. Right-click to open the token editor.
  3. Select Include Index.
  4. Specify the index number. The index can be either a positive number, indicating counting from the top of the page, or a negative number, indicating counting from the bottom of the page. For example, to extract the second-to-last value, enter -2.
  5. The index modification will appear in the token. For example, with the index of -2, the full token will now appear as %(Barcode#[-2]#).
  6. When the documents are processed, the second barcode up from the bottom of the page should be inserted in that field.

Using Annotations to “Bookmark” Documents

When working with large documents, you may want to be able to quickly find your way to particular parts of the document, or navigate within the document. For instance, you might want to be able to jump directly to a frequency-referenced page, or you might want to be able to jump through a document by section or chapter – but you might not want to memorize page number in order to do so.

With Laserfiche 8.1, you can use annotations and the annotation pane to “bookmark” sections of the document. To do so, simply add an annotation to each page you want to bookmark. You can use any annotation that supports text: sticky note, text box or callout text. Type a name for your “bookmark.” For instance, you might create a text box for each section of a document, and name them “Section I,” “Section II” and so on.

To view and jump to your new “bookmarks,” display the Annotations pane. (You can do so in the Document Viewer either from the View menu or by pressing CTRL+5.) This will list all of the annotations in the document, including your bookmarks. You may need to right-click the annotations columns and choose to display text to make the bookmark names visible. You can then jump directly to them by right-clicking the appropriate bookmark and selecting Go to.

Agenda Manager 8: Rerouting Items

Laserfiche Agenda Manager streamlines and automates the creation of meeting agendas. Staff members propose agenda items using a Web form, and proposed items, along with accompanying reports or other files, are routed to reviewers based on an approval workflow you create. New in Agenda Manager 8 is the ability for Approvers to reroute items back to previous stages in the workflow.

For example, a workflow contains three stages (performed in this order):

  • Legal Approval
  • HR Approval
  • Accounting Approval

An item is submitted to the workflow and approved by the first two stages. During the last stage, Sandra, who is reviewing the item on behalf of the accounting department, realizes there is a mistake that must be corrected. Since the mistake does not affect the legal department, Sandra reroutes the item to the second stage in the workflow. This option saves everyone time and doesn’t waste resources, as the item only needs to be reviewed again by the appropriate stage.

To reroute an item, access the Approve Items page, enter a comment that explains why you are performing the action (required), and click Reroute. In the Reroute Options dialog box, choose a stage. This option is only available if the item has been approved by one or more earlier stages in the workflow.

Web Access 8.1 Preview: Web Access Configuration Page

Since this is a preview, note that the details and appearances of certain elements may change between now and the final release.

Web Access 8.1 will offer some new options on the Web Access Configuration Page, including Configuration Page access and more authentication options, all of which will give you more flexibility in how you administer your site.

Configuration Page Access

Previously, the Web Access Configuration Page could only be accessed on the computer where Web Access was installed. In Web Access 8.1, it can be accessed remotely giving specific users the ability to administer Web Access from anywhere with an Internet connection. To do so, the remote user must be added to a specific Windows group or the local administrator’s group on the machine where Web Access is installed, and that group must specifically be allowed access in the Configuration Page Access section of the page.

User Authentication

In 8.1, administrators can explicitly restrict or allow specific Laserfiche or Windows users access to a repository under the Authentication section of the Configuration Page. By restricting an account, you will prevent anyone from using that login to gain access to the repository regardless of whether or not they enter the correct password or not. This also is useful if you only want Web Access configured to be viewable over the Internet for specific users. This setting is configured per repository.

Cookie Authentication

You can also allow users to authenticate to Web Access using authentication tokens generated by the new Laserfiche Authentication Service and stored in the user’s browser cookies. As long as the browser retains the cookie, the user will be automatically logged in when opening a Web Access session from a new browser window. Additionally, you can require users to use a specific type of authentication mode or allow them to select one. Private and public authentication modes control how long the token is active or valid. For example, if you are the only user accessing a machine, you should choose “This is a private computer,” as the token stays valid longer. If you use a public machine, and other people may be logging in, you should choose “This is a public or shared computer,” as the token will expire in a shorter period of time. When the token expires, the next user will not be able to access your information.
