ECS Imaging, Inc. was asked to integrate a document management solution with AICO’s Enterprise Resource Planning (ERP) application to provide seamless synchronization for the order entry, customer service, credit, warehouse and accounting functions.  We provided Laserfiche with Workflow, Quick Fields (Bar Code and Real Time Look-up) and Web Access combined with custom integration with AICO’s SQL database from the ERP system to deliver a system where the users don’t even realize Laserfiche is managing, moving and storing their orders and accounting documents in the background.

 

Ted Hsu, Director of IT noted, “We were able to integrate Laserfiche into our accounting system and utilized both system’s features to their full extent.”  In addition, “We significantly reduced physical document travel to Data Entry, Customer Service Representatives and Accounting while greatly improving communication between departments and limiting the paper and document loss.”

 

The cost reduction and ability to shift three employees to other functions within their departments also added to the project’s success.

 

Next steps for AICO are to leverage their Laserfiche investment in other departments within the company and to improve upon the Workflow process with the release of version 8 of Laserfiche.

Version 8 New Features

In the next few issues, we’ll continue to preview new features in Laserfiche 8, many of which you can see in the beta. Because this is a preview, note that the details and appearance of certain elements may change between now and the final release.

Previewing changes to Annotations

The Laserfiche 8 Client will enable you to preview changes to annotations before you actually make them. This includes changes to sticky notes, stamps, rectangles, text boxes, callout text, lines and freehand annotations. You can experiment with different colors, line thicknesses, shapes and styles before you commit to the changes.

To preview changes to annotations, simply open a document in the Folder Browser containing an annotation, or create a new annotation in a document. Right-click the annotation and select Properties. In the annotation’s properties dialog box, under the Draw Properties tab, there are appearance options on the right and a preview of what the change will look like on the left. Make a change to the annotation to see it in the preview box. If you approve of the change, click OK. If not, experiment with different styles, colors and other options until you are satisfied with the annotation, and then click OK.

DoD 5015.2 Records Management Recertification

Laserfiche hosted a certifier from the Joint Interoperability Test Command (JITC) at there offices last week, with the goal of having Laserfiche 8 certified and having the certification for Laserfiche 7 extended. The testing went very smoothly and we achieved both goals—Laserfiche 8 has been certified and the certification for Laserfiche 7 has been extended for 6 months.  This allows us to continue providing a certified records management solution on the Laserfiche 7 platform and gives existing customers time to plan their migration to the Laserfiche 8 platform.

The Laserfiche 8 Client enables you to view a list of recently opened documents. This is useful for quickly retrieving a document you recently had open for viewing or editing, without having to browse your hard drive. You can open the document directly from the Folder Browser without browsing through the folder tree for it.

In order to use this feature, the document you want to retrieve must have been one of the last 11 documents you opened, given that the recent document list shows a maximum of 11 documents. Items on the list are displayed with the start of the document path (i.e. the name of the repository in which it’s stored), an ellipse representing the rest of the document path, and the actual document name. If you only worked on two documents recently, you will see only those two documents. If you worked on 15 documents recently, you will see the most recent 11. The documents are numbered, and the first is the most recent document opened. These numbers can be used as keyboard accelerators: instead of selecting the document, you can press the number on the keyboard that corresponds to the document on the list (1-10, using 0 for 10), and it will open.

To open a recent document, access the Folder Browser and click File. In the File menu, you’ll see a list of the recent documents. Click on the document or use the keyboard accelerators to choose the document you want to open.

Many users are simply performing searches, and they take up read-write concurrent licenses even though they are not using read-write functionality. In Web Access 8™, administrators will be able to specify that those users draw from the read-only license pool only.

 Web Access 8 will enable administrators to assign specific users or groups read-only concurrent licenses. Users who are assigned a read-only license will not dip into the pool of read-write user licenses. Because the administrator makes the assignment, the user does not have to worry about choosing which license type to utilize.

The ability to assign read-only licenses in Web Access 8 does not negate the usefulness of WebLink, though, because a core feature of WebLink is its customizable interface. This ability to easily streamline and tailor the user interface allows organizations to simplify the user experience, which is crucial when information is available to the public. In these circumstances, the ability to simplify and customize the interface also allows WebLink to fit in seamlessly with an organization’s current Web template.
