Getting Ready for Version 8

 

At ECS we want the experience of the migration to version 8 to be painless to our customers. Upon notifying your Account Rep that you are interested in upgrading to version 8 ECS will provide a thorough analysis of the existing system to ensure the migration can be completed and with little surprises.  A tech team will be assigned to your account for the pre-migration process and to review a checklist of items with your IT staff.  Some of the items include:

 

·         Identifying hardware and application minimum requirements

·         Identifying read only volumes in Laserfiche

·         Obtaining a copy of just the database to run through the migration at our offices beforehand

·         Consulting on template fields with the new abilities in 8

 

Our intent of this pre-migration process is to provide a complete and successful migration from the beginning. Here are a few of the hardware and application recommendations:

Workstations

2 GB RAM or more on scan stations

1 GB RAM or more for other stations

Laserfiche 8.0.1 Delivers More Administrative Tools

Laserfiche 8.0.1 introduces several new features to help you administer your repository, including the ability to keep track of which tags were granted to which trustees, and to determine what computer a user is connecting to the repository from.

Viewing Users Who Have Been Granted a Tag

You can view the list of users and groups that have been granted a particular security tag from the tag’s Properties dialog in the Administration Console. This allows you to quickly review who has access to the tag—and therefore, who has access to the documents that the tag has been applied to. Reviewing the trustees granted to a security tag lets you quickly ensure that the right users will be able to see secured documents, and that users that shouldn’t be able to will not.

To review the list of users that have been granted a particular tag, open the Administration Console and select your server and repository. Expand the Metadata Management node, and select Tags. Choose a security tag, right-click and select Properties. In the Properties dialog, you can click View to view the trustees who have been granted this tag. You must have the Manage Tags privilege to view this information.

Determining Which Computer a User is Logged In From

In the Connections node, you can now determine which computer a user is logging in from. This can be useful in troubleshooting situations—for instance, you believe you have a duplicate user, or a user who is not being logged off properly, and want to know where the ‘extra’ user is logging in from. It can also be useful if you are afraid that a user’s password has been compromised and want to track where the Laserfiche trustee is logging in from.

To determine which computer a trustee is logging in from, open the Administration Console and select your server. Select the Connections node. The computer that a user is logging in on to access the repository will be listed in the Computer column.

Web Access 8 Allows Simultaneous Multiple File Import

Web Access 8 now offers the ability to import multiple files at once by selecting files from a computer and uploading them to a temporary holding area until you are ready to import. Getting documents into a Laserfiche repository as quickly and efficiently as possible is key in utilizing the full functionality of Laserfiche. In the previous version of Web Access, users were able to import files from their computer one at a time into their repository.

To import multiple files into a repository:

  1. Select the Laserfiche folder to import files into.
  2. Select Import from the File menu.
  3. Click Choose File and select the file you want to import. This adds the file to the temporary holding location. You will see the file in the Files to import section.
  4. Repeat step 2 until all the files you want to import are listed in the Files to import section.
  5. If you accidentally add a file you do not want to import, click Remove to the right of the file.
  6. When finished, select Start Import.
  7. All files in the Files to Import list will be imported into Web Access.

Tailor Your Recycle Bin to Suit Your Needs

The Laserfiche Recycle Bin offers administrators great flexibility, with many options for protecting against accidental deletions of documents and folders in the Laserfiche repository. The feature, new to Laserfiche 8, can be disabled entirely or customized to allow or restrict a broad range of access and capabilities for Laserfiche users. The two types of configurations are determining which users can see, purge and restore items and how the recycle bin will be cleaned out.


Who Can See and Purge Deleted Items
By default, users can only see the items they send to the recycle bin. In addition, unless you specify otherwise, users cannot permanently delete (i.e., purge) recycle bin items.

  • To enable a user to purge items they originally sent to the recycle bin, grant them the Purge Entries privilege.
  • To enable users to see, purge, or restore all items, regardless of who originally sent them to the recycle bin, grant the user the Manage Entry Access privilege.

Note: This privilege also grants users the ability to grant/deny entry access rights to all documents and folders in a repository.
Periodically Cleaning Out the Recycle Bin
There are two methods to cleaning out the recycle bin.

  • Configure Laserfiche to automatically purge items after they have been in the recycle bin for a certain number of days. To use this method, open your repository in the Administration Console, expand the Recycle Bin node, right-click on Settings, select Properties, and define an Age limit. Note: In a new repository, an age limit of 7 days is set as the default.
  • Rely on your administrators to manually clean out the recycle bin. This option is best if you want an administrator to manually review each item sent to the recycle bin before it is purged. To use this method, make sure the Age limit option in the Administration Console is cleared.
