Saturday, November 4, 2006 – ECS family and friends joined with NAMI on their annual charity walk for Mind of America at Diamond Valley Lake in Hemet.  ECS was apart of 800 participants walking to raise $65,000 dollars for a charitable cause. NAMI is the nation’s largest mental health organization helping to improve lives of persons with mental illness and their families.

Lake Elsinore Unified School District – “Adding new Laserfiche Systems”

Six years ago Lake Elsinore Unified School District had a huge problem with storage space. Sound familiar? “We had boxes all over the place.” says Cheryl Brewer in Student Record Services. “Sometimes I still have to find very old, hard copy records and have to search through those old dirty boxes. It reminds me of how our office used to be and sometimes it takes up to 24 hours to find.”

 

Lake Elsinore USD came to ECS Imaging in 2000 and asked for a solution to their problems. Since then, all graduating student records are scanned and stored in a Laserfiche system. “Now it is wonderful because it is easy to scan and when I need to locate a record I find it with instant retrieval.”

According to J.R. Rea - Director of Information Technology Services back-ups are done on a nightly basis so they will never lose any data or records in Laserfiche.

 

Lakeside High School is a new High School within the Lake Elsinore Unified School District. The High School has purchased and is installing a new Laserfiche system for all student records for all grades. The Personnel Services Department is also purchasing a new Laserfiche system for all Personnel records in the District.

Patriot 780 - $4,995 List price

The Visioneer Patriot 780 scans at 50ppm/100ipm at 200 dpi monochrome and grayscale. It offers an optical resolution of 600 dpi, 48-bit internal color, a hi-speed USB 2.0 interface (USB 1.1 compatible), and a suite of bundled software applications and utilities. Optimizing OCR for speed or accuracy

You can configure the way the OCR engine processes pages in versions of Laserfiche that use the OmniPage® OCR engine (Laserfiche 7.2.1, Import Agent 7.0.2, Quick Fields 7.1.2, Snapshot 7.0.3, Toolkit 7.2.1, and Web Access 7.2.1). You can use the OmniPage engine's default, highly accurate OCR process, or you can trade some accuracy for higher processing speed to make your OCR process faster.

For all products, OCR is optimized for accuracy by default. You only need to make a change if you want to switch to optimization for speed, or if you previously optimized for speed and would like to switch back.

Optimizing OCR in the Laserfiche Client 7.2.1

In the Laserfiche Client, select Tools and then Options. Select OCR. Under Settings, select Optimize for speed, or clear this option to optimize for accuracy. Click OK.

In Laserfiche Scanning, click the OCR Settings button. Select Optimize for speed, or clear this option to optimize for accuracy. Click OK.

In Laserfiche Scanning, add an OmniPage OCR process. In the OmniPage OCR settings pane, expand Accuracy. Select Speed or Accuracy.



Optimizing OCR in Quick Fields 7.1.2

In Quick Fields, add an OmniPage OCR process under Image Processing. Proceed through the Setup Wizard until you reach the Accuracy or Optimization step. Select Speed or Accuracy.

 

 

Navigating Menus in Laserfiche Using the Keyboard

You can use keyboard shortcuts to perform almost any task in the Laserfiche Client. In addition to shortcut keys that directly begin a procedure or open a dialog – for instance, using CTRL+P to print the selected document – you can also use keyboard shortcuts to navigate the menus. These shortcuts will also work in other Laserfiche thick clients, such as Quick Fields.

 

To navigate a menu using the keyboard, first hold down the ALT key. This will display the available menu shortcuts by underlining the letter of the shortcut key. For instance, the F in File will be underlined. While holding down the ALT key, press the shortcut key for the menu you would like to open – ALT+F for the File menu, ALT+E for the Edit menu, and so on. This will open the menu.

 

The commands in the menu will also have underlined shortcut keys. For instance, once you have pressed ALT+F to open the File menu, you can press I to import the selected item. If a command has a sub-menu – for instance, the New command has a sub-menu containing the Folder and Document commands – pressing the shortcut key for that command will open the sub-menu. You can also use the arrow keys to navigate through the menus.

 

Note: Pressing ALT again will close all open menus.

Example: Using Keyboard Shortcuts to Export an Electronic Document

 

1. Select the document you wish to export. (You can use the UP and DOWN keys to navigate to your document using the mouse, and the ENTER key to expand folders.)
2. Press ALT+F to open the File menu.
3. Press E to open the Export sub-menu.
4. Press E to open the Export Electronic File dialog.

 

 

5. Continue with the export process as usual.

 

Navigating between Documents

Laserfiche provides you with several ways to navigate between documents in your repository.

Navigating between Documents in the Folder Browser.

 

You can move between folders simply by selecting them in the folder pane. To see a folder's subfolders, you can either double-click the folder, or click once on the plus sign to the left of the folder icon. You can also navigate between folders using the keyboard: use the ENTER key to expand a folder and see its subfolders, and the UP and DOWN keys to move between visible folders.

 

You can also choose to move back to a previous document you have viewed, forward to the next document, or up to the parent folder of your current folder. To move forward or back, select Go from the View menu and choose Back or Forward. You can also click the Back or Forward buttons. The Back and Forward buttons also have drop-down history lists, so that you can skip forward or back to exactly the location you want.

 

 

To jump to the parent folder of your current folder, select Go from the View menu and choose Up One Level, or click the Up button.

 

 

Navigating between Documents in the Document Viewer

In Laserfiche 7.2, you can also move between documents directly from within the document viewer. This allows you to quickly work with multiple documents in the same folder without needing to repeatedly close and open them. To do so, simply click the Next Document or Previous Document button. This button will move up or down in the list of documents in the folder browser. For instance, if you wanted to move through documents in chronological order, you could first sort them by date, and then use the Next Document button to move through the list without having to close and open each one individually.

 

 

Navigate within documents in the document viewer

This allows you to work with different parts of a document quickly and efficiently. This can be particularly helpful if you frequently work with long documents.

 

Moving One Page Forward or Backward

 

There are four ways to move forward or backward by one page in the document viewer; you can choose the one that works best with your own process. You can click the thumbnail for the next page in the Thumbnails pane. You can select Previous Page or Next Page in the View menu. You can use the keyboard shortcut CTRL+PgUp to move backward a page or CTRL+PgDn to move forward a page. Or you can click the Previous Page or Next Page button.

 

Moving to a Specific Page

 

If you know which page you want to go to – for instance, you remember that you need to look at a diagram on the fifth page of a document – you can jump directly to that page using the Go To Page dialog. You can launch this dialog by selecting Go To Page from the View menu, by using the keyboard shortcut CTRL+G, or by clicking the Go To Page button. Then simply type the page you wish to jump to in the dialog box and click OK.

 

Jumping to the Beginning or End of a Document

 

If you want to skip straight to the end of a document, or return to the beginning, you can do so by clicking the First Page or Last Page button.

 

Enabling a user to control access to a particular set of folders

In some cases, you may want a user to be able to grant or revoke access to a specific folder or set of folders, but not to the entire repository.  For instance, you might grant the administrator for a particular department the ability to control access to the folder and subfolders for that department, but not the folders for other departments.  In fact, you might not want them to be able to access those folders at all.
 
In this case, you would not want to use the Manage Entry Access privilege.  The Manage Entry Access privilege grants the ability to modify access everywhere in the repository.  Furthermore, since users with Manage Entry Access can grant access to any folder in the repository, they could grant themselves access to folders they should not see.  The Manage Entry Access privilege should only be granted to users who should have the ability to grant access to the entire repository.
 
Instead, you would use the Access Control entry access right.  As with all entry access rights, this right is set by folder, and is limited to a specific scope.  When a user has been granted the Access Control right, they can grant entry access to the set of folders you have specified and no more.  For instance, to give a department administrator the ability to control access for a departmental folder and all its subfolders, you could grant that user the Access Control entry access right on the department's folder with the scope "This folder, subfolders and documents."
