For more than 40 years, Queen of the Valley Hospital has been the premiere medical facility in the Napa Valley of California. Founded in 1969, The Queen of the valley Medical Center is a part of the Sisters of St. Joseph Health System hospital network.  The Napa Hospital is a JCAHO – accredited, 179 licensed bed hospital which also serves as the region’s designated trauma center.

 

Several Years ago the Human Resources Department determined to find an Electronic Document Imaging System to manage the large history of active employee files (the hospital currently employs 1,600 active employees).  The goal was to reduce labor costs related to employee file retrieval, management & storage.

 An RFP was developed and released for the purpose of determining the best product and vendor to meet the needs of the Hospital. Donna Schelling – Dir. Of Total Compensation/ Human Resources Systems and Corene Ross- HRIS & Compensation Assistant were given the task of finding a product and a vendor.

 

ECS Imaging Inc. North based in Martinez, California and the Laserfiche Document Imaging System was selected.  “Of all the respondents, ECS Imaging North presented the most complete solution to our needs” said Ms. Ross.  They are a “local vendor” with a large client base & over 14 years of experience”.

 

We were not disappointed.  Their staff was confident, efficient and knowledgeable.  They gave us design consultation for our system, complete system implementation, and extensive Administrator training.  The whole process was very smooth.  Follow up training is planned for the coming month and “we are very excited with how well things are going”. 

 

The hospital purchased a MSSQL version of the Laserfiche System with 5 Full Users, 10 View Only Users, MAPI Email Users, Snapshot, Quick Fields, Zone OCR, & Real Time Look Up for auto template index population and auto filing. Also purchased were 3 Xerox 632 desktop scanners and 3 Xerox Documate 272 scanners with hard ID card scan slots for future employee identification card scanning directly into Laserfiche.

 

The Hospital is currently scanning the complete backlog of existing “active employee files”.  The intent is to capture as many of the files as possible before the department is relocated to their new office building. “Those files take up a whole room & it looks like we will have more than half of the files scanned before the move (scheduled for two weeks from now)” say Ms. Ross.    The Hospital staff has already been seeing noticeable returns on their investment; “Research is much easier now, I don’t even have to leave my desk to find a file.  Along with the disaster recovery benefits of digital imaging, document security, ability to protect private information, space & labor saved; “It’s GREAT! I LOVE IT!” says Ross.

In the next few issues, we’ll continue to preview new features in Laserfiche 8, many of which you can see in the beta. Because this is a preview, note that the details and appearance of certain elements may change between now and the final release.

Copying Folders and Reproducing Folder Structures

The Laserfiche 8 Client enables you to copy folders (with or without content) to other Laserfiche folders. The copied folder will retain the volume and metadata information previously assigned to it and will retain all contents (documents and subfolders). You cannot copy a folder that has a document checked out for editing or copy a folder into one of its own subfolders. You can, however, copy a folder into the same root folder. It will duplicate that folder and give you a prompt allowing you to rename it.

To copy folders:

  1. In the Folder Browser, select the folder you want to copy.
  2. Right-click and select Copy, select Copy from the Edit menu or press CTRL + C.
  3. Navigate to and select the folder’s new location.
  4. Right-click within the folder and select Paste, select Paste from the Edit menu or press
    CTRL + V.
  5. You will get a prompt confirming the copy. To turn this prompt off, select the check box next to Don’t ask me again. Click Yes to copy the folder.
  6. The folder should now appear as a copy of the original.

Note: You must have Create Folders and Create Documents rights to copy a folder.

The Client also enables you to reproduce folder structures. The folder structure is copied to a new location, but the documents inside the folders are not. Reproducing a folder structure without contents copies that folder and its subfolders, leaving all documents inside each folder behind. This allows you to easily reproduce standardized folder structures, such as a folder structure for client records.

To reproduce folder structures:

  1. In the Folder Browser, select the folder structure you want to reproduce.
  2. Right-click and select Copy, or select Copy from the Edit menu.
  3. Navigate to and select the folder structure’s new location.
  4. Right-click and select Reproduce Folder Structure.
  5. You will get a prompt confirming the reproduction. To turn this prompt off, select the check box next to Don’t ask me again. Click Yes if you want to reproduce the folder structure.
  6. The folder structure will appear as a copy of the original, without any documents inside.

Note: You must have Create Folders rights to reproduce a folder structure.

Web Access 8

Clients love the full-text search capabilities in Web Access. Once they open a document from the Search Results window, however, they lose the useful lines of context and it becomes difficult to jump to different sections of the document. Right now, they close the document to return to the Search Results window. Web Access 8™ will provide a better way to meet our clients’ needs.

Web Access 8 includes a new document viewer that introduces a Thumbnail/Search Results view below the image. If you open a document from the Search Results window, the view will now include the lines of context that match your search criteria. Double-clicking on a line of context will take you directly to the page where that line appears and will highlight the search terms on the page.

Laserfiche 8 also provides "search within" functionality that enables you to quickly search for words or phrases within the document you have open. In Web Access 8, the results of a "search within" search appear as lines of context below the image.

Text box and callout text

The Laserfiche 8 Client offers several new annotation types, including text box and callout text annotations. These annotations are very similar: callout text is simply a text box with an arrow pointing to a specific location on the document. By right-clicking either annotation, you can access the Properties dialog box and change the fill color, line color, opacity, line thickness, style and, for the callout text, arrow style.

As you add text to either type of text box, the box will scroll to accommodate more text, and you can use the scrollbar to move up or down in it. Once you are done typing, simply click outside the text box and the system will automatically size the box so that all the text is visible.

The text box can be manually resized and moved to any location on the image. To move it, simply select the text box and drag it to where you want it. When moving the callout text box, the arrow will continue to point to the original location you specified.

Laserfiche 8 custom settings

Currently, the Laserfiche Client reads its settings from the registry, so configuring initial settings for all users across a large number of workstations can only be done through a group policy in Active Directory or with a Laserfiche Client package in SMS.  In Laserfiche 8, custom settings—such as toolbar buttons and column display—have been moved out of the registry and into the repository database. This change allows for "floating profiles" so that the user interface configuration is the same for a user no matter what workstation he or she uses. Administrators can view the client configuration settings for each user on a new Attributions tab in the Administration Console.

In addition, the Administration Console enables the administrator to create default user interface settings for a repository. This gives administrators an easy way to create a default Laserfiche Client configuration that makes the most sense for their users.

Fields in Laserfiche 8™

In Laserfiche 8, fields exist independently of the templates that contain them. In other words, a template collects a number of fields—which can be created separately from the template—rather than defining the fields. This has a number of advantages for both the administrator and the user. 

An administrator can create a single field (for instance, a field named Filing Date) and apply it to more than one template. This saves time, given that the administrator no longer needs to create a Filing Date field for each template whose filing date he or she wants to track. More importantly, it allows for more efficient searching for users, given that they can search for a particular date in any of the Filing Date fields in the repository, regardless of what template they are a part of. 

An administrator can also delete a template without deleting all the fields contained by the template, or can make changes to a field that will apply to all instances of the field in the repository. Furthermore, users with appropriate rights can add fields directly to documents without needing to add them to a template first. For instance, if a certain documents should have the Routing Information field, but most documents do not need it, a user could simply add the Routing Information field directly to those documents that need it, regardless of the template that is applied to the document.

Controlling security in Laserfiche 8

Many customers have multiple administrators who are responsible for different groups. They want department administrators to have control over the folders and templates for their department, but not other departments. Laserfiche 7 already has a mechanism for controlling security within the department’s folder. Instead of giving the user the administrative privilege Manage Entry Access, which will give them, rights over the entire folder structure, you can give departmental administrators control of a specific part of the folder with folder-level security. The specific Entry Access right for this is Access Control, as seen in the screenshot below. The user with this right can set up security for this folder and all subsequent sub-folders—assuming a scope of "This folder, subfolders and documents" is assigned—but will not necessarily have any rights into other parts of the folder structure.

Currently, giving a user the rights to edit templates is an administrative privilege that will extend to all templates in the repository. This will change in Laserfiche 8, however, so that users can be given rights over a particular template without having control over other templates. As shown in the screenshot below, you can give the user rights to modify the fields in the template, modify the template’s security or both.
