City of La Palma Goes Green The City of La Palma has been using Laserfiche in the Clerk’s office since the spring of 2000, but this year they are expanding the benefits of the system throughout the City. With a retention plan in place, each department has been diligently reviewing their content to see what needs to be preserved and what needs to be purged. Earlier this year, ECS Imaging, Inc. met with the City’s office manager and representatives from the Police Department, Finance and Accounting, Public Works, Community Development and the Clerk’s office to discuss outsourcing their scanning to address the retention plan and to make some room in the offices. The City has been in the same building for decades and space is a valuable resource.
On December 16th the day will be dedicated for all the departments in the City to go through their records and sort what will be scanned and what needs to go. In doing so, The City of La Palma will be “greener” as ECS Imaging, Inc.’s CEO, Jim Pappas, recently said because they will recycle old paper, scan and eventually shred their records to be saved and going forward all departments will scan their work into Laserfiche for quick retrieval, shared access and smoother operations. It is important for all organizations to play their part in making our world a greener place and we thank the City of La Palma for including ECS Imaging, Inc. in their process.

Riverside County Regional Medical Center Foundation’s Festival of Trees Fundraiser Each year Riverside County Regional Medical Center holds a fundraiser for life saving equipment and items needed for keeping the Pediatric units equipped with necessary tools and technology. This fundraiser helps raise money for units such as the Neonatal Intensive Care Unit, the Child Abuse and Neglect Unit and the Pediatric Intensive Care Unit. Laserfiche is proud to be a silver sponsor for the Riverside County Regional Medical Center Foundation’s Festival Of Trees Fundraiser!

Publishing from the Command Line with Plus 8.1 With Laserfiche Plus 8.1, you can use the Windows command line to publish documents into a portable repository. This feature allows you to incorporate Plus publishing into other processes. For instance, you could create an automated system for making backups, or integrate Plus with another software program. From the command line, you can also use options not available from the Plus interface, including publishing briefcases and encrypting a published repository with multiple passwords. To publish from the command line, navigate to the directory where the Plus program is installed. By default, this is c:\Program Files\Laserfiche\Plus 8.1. Then specify the following types of parameters:
Web Access 8.1: Viewing Web Access in an iframe Web Access 8.1 gives you the ability to view your Web Access site in an iframe, an embedded window (frame) that displays the contents of another Web page or document on your site. Users can view the information inside the iframe without having to navigate away from your Website. For example, the City of Brown has a Website that citizens use for everything from paying parking tickets to applying for a job, and the city wants to give citizens the ability to download public documents from the Web Access site as well. The city embeds Web Access into its city Website via an iframe. This way, users will not have to leave the city’s site to access the Web Access documents. Instead, they can use Web Access and still remain on the city’s Website, which they are already familiar with.

Note: There are other optional attributes you can add to your iframe besides width and height. For example: align, frameborder, marginheight, marginwidth, scrolling, etc. In this Tech Tip, we will explore new features in Laserfiche 8.1 that provide administrators with more flexibility and security in archiving and backing up volumes. If you are unfamiliar with volumes in general, see the following videos before continuing: Real-Life Scenario The Blue Company has a volume that should no longer accept new data, but whose documents should still be available in the Laserfiche Client. If possible, they would also like to reduce the amount of space the volume uses on the hard drive. Finally, they want to back up the volume to DVD and ensure the files on the disc are secure, in case it’s lost. They complete the steps below.
Step 1: Compress the Volume Compressing a volume renders it as read-only and reduces the amount of hard drive space it uses. The volume’s documents will still be available via Laserfiche applications, and the volume can always be decompressed later.

Step 2: Create a Compressed and Encrypted Backup Volume One way to back up a volume is to export it, which creates a copy of the volume in a specified location. In Laserfiche 8.1, you can encrypt and/or compress the volume during the export process. Encrypted volume files are inaccessible to anyone who tries to view them outside Laserfiche (e.g., if someone tries to open an encrypted image file from the Windows file structure, they will be unable to). If someone attaches the encrypted volume to a Laserfiche repository, they must provide the encryption password to access the documents.

Quickly View Effective Rights for a Folder Even with a well-thought-out security policy, it can be difficult to remember exactly what rights a user or group has to a particular entry in Laserfiche–especially when you take inheritance and group membership into account. Laserfiche provides a tool for quickly viewing the effective rights that a particular trustee has to a folder or document, which you can use to verify that the correct rights have been set, to check whether a user has access to something, or to troubleshoot security problems. To view a user’s effective rights, select the document or folder you want to check, right-click and select “Access Rights.” Go to the “Effective Rights” tab. By default, the dialog will display the effective rights for the trustee you are logged in as; to view the rights for another trustee, click “Choose” and then pick the trustee from the list. If a right has a check in the “Granted” box, the user has that right; if it is cleared, they do not have that right. This dialog takes into account all entry access rights that affect this trustee and this folder. That means that entry access rights inherited from group membership will be reflected here, as will entry access rights inherited from farther up the folder tree. Note, however, that it does not take into account other types of rights. For example, if a user has the “Bypass Browse” privilege, they will be able to browse the contents of a folder even if they do not have the “Browse” right displayed; if a user does not have the “Delete” feature right, they will not be able to delete documents even if they have the “Delete Entry” access right.
